1. Who is responsible for your data

2. What this notice covers
This notice explains what happens to personal data when you visit aosoft.pl, write to us, use the AI project assistant on the homepage, or ask for a preliminary estimate. It is written to meet Articles 13 and 14 of the GDPR.
3. What we process, why, and for how long

Current status of the assistant. At the moment the assistant runs entirely in your browser as a demonstration: nothing you type is sent to us or stored, and the estimate form does not send anything. Before we connect it to our systems, we will update this notice. The rows above describe the planned processing so that you know what to expect.
Providing data is voluntary. Without an email address we cannot reply to an estimate request. You never have to create an account to use the website.
4. Who else processes your data
We use the following service providers, each bound by a data processing agreement:
- Google Cloud EMEA Limited (Dublin, Ireland): website hosting (Firebase Hosting), and, once the assistant is connected, the application server (Cloud Run), database (Firestore) and AI model (Gemini on Vertex AI). Our data is stored in Google's European Union regions. Hosting uses a global content delivery network, so a page may be served from a server near you. Google may transfer limited technical data outside the EEA under the EU–US Data Privacy Framework and the European Commission's standard contractual clauses.
- Google Ireland Limited (Dublin, Ireland): Google Workspace, the email service behind contact@aosoft.pl.
- Brevo (Sendinblue SAS, Paris, France): sending notification and confirmation emails, once the estimate request form is connected.
We do not sell personal data and do not share it with advertisers. We disclose data to authorities only where the law requires it.
5. How the AI assistant uses your messages
- Once connected, your messages will be sent to the Gemini model through Google's Vertex AI service in the European Union to generate replies and a draft brief. Under Google Cloud's terms, this content is not used to train Google's models.
- The assistant produces a draft summary of what you told us. It makes no decisions about you and gives no prices or timelines; a person at AOSOFT reads every request.
- Please do not enter data you would not put in an email: no passwords, no health or financial details, no personal data of other people beyond what is needed to describe your project.
6. Cookies and local storage
We do not use analytics, advertising or tracking cookies, and we embed no third-party content. Fonts and images are served from our own site. The website uses only storage that is strictly necessary for a function you asked for, which does not require consent:

If we ever add analytics, we will use a tool that works without cookies, or ask for your consent first.
7. Your rights
Under the GDPR you can ask us at any time to:
- access the personal data we hold about you and get a copy;
- correct inaccurate data;
- delete your data (for example, your assistant session or estimate request);
- restrict or object to processing based on our legitimate interests;
- receive the data you gave us in a portable format;
- withdraw consent where processing is based on consent. Withdrawal does not affect processing that happened before.
Write to contact@aosoft.pl. We answer within one month. You can also lodge a complaint with the Polish supervisory authority: Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl.
8. Changes to this notice
We will update this notice when we connect the AI assistant and the estimate form to our systems, or when our providers change. The version and date at the top tell you which text applies. Material changes are announced on the homepage.
